You’re running a risk register, not just a program. Here’s everything organisers normally have to chase, in one place.

Fees

Fees depend on format, location and audience size. Tell us what you’re planning and we’ll come back with a number within one business day. If you’re booking through a bureau, they’ll quote directly.

Deposit and balance

50% deposit confirms the date. Balance due 14 days before the event. The date isn’t held until the deposit is received.

Postponement and cancellation

Outside 60 days: deposit transferable to a new date within 12 months. Inside 30 days: deposit retained. Inside 7 days: full fee payable.

Recording and streaming

Recording for internal use is generally fine and agreed in writing beforehand. Livestreaming, public release and ongoing reuse are negotiated separately. 

Travel and accommodation

Within Australia, economy airfares and transfers at cost. Business class for flights over 4 hours and all international. Accommodation the night before where the start is earlier than 9am or travel exceeds 3 hours.

What Sonia needs in the room

A lapel or headset microphone — not a handheld, since she moves. Sonia uses a Mac so IT needs to be informed. Confidence monitor if slides are used. Clear floor space at the front.

Briefing

A 30-minute call two to three weeks out. We’ll ask about your audience, what’s happened in the organisation lately, and what you want people doing differently afterwards.

What we'll send you

Speaker bio, high-resolution photography, session title and description, AV requirements and social assets — all in the Event Planners Portal as soon as the date is confirmed.

Insurance and compliance

Public liability and professional indemnity certificates available on request. Blue Card held for education-sector events.
